What's AP?
-----------
It's a data base program specific for papers. You can create, store, cross
search, retrieve and send out formatted reference list to printer, screen or
disk file for word processing.
*you can change reference format easily befor you submit the paper to
journal. Even though the chance for it to be accepted is the same.
*you can ask librarian or RA to keyin the name of all relevant papers,
whenever you need to start a new project, you can find relevant reference
easily. The catch is that, you should pay more to your RA.
*you can check a paper whether you have or not quickly. That is, before
you spend your money to make zerox.
*you can put all papers in stack, AP can help you to access the paper you
need quickly. The chance for you to have cleaner desk top is larger.
*you can write down the abstract or reading notes in AP for future review,
never lost the card again. And never stop changing a more powerful glasses
again.
*etc.
The history of AP
-----------------
It was started when I found that I had made a double zerox, the year was around
1984. It evolves a lot during these years, so is the name for it. In the
beginning, its name was RMS, reference management system, as the program
progress, the version came to a large number, something like ver. 10.2, a new
name was a natural solution to it, it became to ARMS, academic reference
management system. Well, as time pass, it grew again, new features changed the
version number again, it's going on utill last year, a Plus was added to its
name, so it's called ARMS Plus now, or AP in short.
Who should use it?
-------------------
If you are professor, graduate student, librarian, or any kind of researcher
who need to read a lot of papers, but find that you can never keep track of
them.
What facilities do you need?
----------------------------
IBM PC with 512K RAM and DOS 3.xx. It is suggested that you had better have
a hard disk, it's not required, but you will find floppy disk make the speed
intolerable.
How many files AP has?
----------------------
AP should come with six files:
AP.EXE main file.
AP.DBF sample file to put reference data.
AP.DBT sample file to put notes.
AP.NTX sample file to put sort key.
AP.MEM sample file to put standard names and other import variables.
AP.DOC this file.
Only AP.EXE is required, you can delete all other sample files, AP will create
data bank file of your own.
Do you need a manual for AP?
----------------------------
Not quite, since AP use pulldown menu, and every choice item has a short
explanation, user can learn it soon after he goes over the program with the
sample data bank. There do have some tricks and rules which I will mention
them in the subsequent. Anyway, what you are looking is the only manual for
it.
How to start?
-------------
Just type AP, it runs. In the first time, put all files in a directory,
press RETURN key until you see the main menu.
How to stop?
------------
Press ESC key until you leave AP.
If you want to interrupt AP, ALT-C can do this, that is, keep ALT key down
and press C key, AP will ask to continue, answer N or just press return will
stop the job. It's abnormal to interrupt a program, you will take the risk of
data loss, so it's not suggested.
TIPS
====
Before going on, let me explain some usage for keys:
To choose an item in pulldown menu or other choice menu, you can move cursor to
the item and press return key, or press the first character of the item.
To type file name or data, if the keyin word is longer than given width, it
will be entered automatically with the given width, if is less than the width,
you must press enter to complete it. Press ESC can stop the current data entry
and continue the job, but the data you type after last enter key will be lost.
Function key F1 is reserved for special usage, such as to popup choice menu.
All other function keys can be defined in SETUP as a string, you can use them
to save typing work.

How to deal with password?
--------------------------
The password for sample bank is none, just press ENTER key to pass it.
When AP create new data bank, it will as you password for that bank, you can
change it in setup menu.
How to create new data banks?
-----------------------------
When you are asked for reference bank, give a new name will create it
automatically. Three chance to do it, in the beginning, in the copy menu and
in the change base menu.
How to switch to other data bank?
---------------------------------
In main menu, type G for Global, B for Base change, then AP prompt you to
give the target bank name, either type in the target bank name, or press F1 to
pop up data bank name menu for you to choose. To stop changing bank, choose the
original bank name. If you give a new bank name, AP will create it for you.
How to input new record into data bank?
---------------------------------------
There are four ways to input data, 1. keyin, 2. retrieve from other data
bank, 3. copy to other data bank, 4. import from ascii files of which fields
are delimited with " and seperated with ,.
How to keyin?
-------------
Main menu has a 'Global', below it you can choose submenu 'Keyin'.

TIPS:
=====
Subject is used to classify papers, F1 key show all standard subjects
for you to choose, if you type in new subject, it will add into stardard
subjects. You can change them in setup.
Data won't be changed before return key is pressed. ESC key can skip
the fields after cursor.

What are standard names?
------------------------
Two kind of information are quite common for different papers, one is
subject, which is the category of paper, such as micoreconomics, game theory,
information economics, etc. The other is the journal name of which the paper
in on, such as Econometrica, the American Economic Review. AP keep a short
name and a long name for each subject and journal. You need only keyin short
name, AP will automatically convert short name into full name while list out.
The advantages are:1. save keyin time and disk space, 2, AP can keep standard
journal and subject, pop up choice menu for you to choose while in keyin data.
How to setup standard names?
----------------------------
While in keyin, you need only enter short name for subject or jouranl,
in the end of each record AP will check these two names to see whether they
are new, if they are new, AP will prompt you to give the full name for them.
If you retrieve data from other bank, the standard name will transfer too.
If you copy data to other bank, the standard name won't be transfered, you
need to use setup to build it,
In setup menu, you can set up standard name for journal or subject, two way
to do it, Automatic and Manual. Automatic means AP will search data bank to
find new names, but since only short name are saved in data bank, the long
name is equal to short name, you need to change it manually. Manual means you
will keyin the names yourself, you can also edit existing names, after entry
you can decide whether to sort the name or not.
How to Change standard names?
-----------------------------
To revise or delete a standard name, choose journal or subject in setup
menu, choose Manual and move cursor to the name you want to change, press
RETURN key to start editing, or SPACE key to nullify the name, then sort the
names will kill the null name.
What's the difference between retrieve and copy?
------------------------------------------------
Retrieve copy all records and standard names from other data bank to
current using bank.
Copy used for copy part of records in current using bank to a target
data bank, but exclude the standard names. You must use lookup to choose
the records for copy first.
How to retrieve?
----------------
Retrieve is Global action, in main menu, press G for Global, R for Retrieve,
then give the source data bank name, all records and the names of standard
journals and subjects in source will be copied to current used data bank.
How to copy?
------------
Use Lookup menu to choose the records you want to copy, then use right
cursor to move to Action menu to press C for copy.
What are the differences among main menu choices?
-------------------------------------------------
'Global' means global action that you need not search record first,
'Actions' means you can act over the records you searched through
'Lookup', so you must choose records in lookup menu for actions.
How to choose records for action?
---------------------------------
You can use search or browse/tag to choose records. Following is
lookup menu, Terms and Go! are used
Lookup for search, Browse/Tag is used for
Search for references browse and tag.

║Range ║ if data bank is too big, to limit the range
║Go! ║ can save time.
║Piles OFF ║
║Sort Key OFF ║ Piles Off means each GO! will clear the previous
║Browse/Tag ║ chosen records, and start new search.

Sort Key Off means the chosen data is not sorted.
Piles and Sorts are toggles, to press P will switch Piles On, press again
will return to Piles Off, so is for the Sort.
How to choose records by search?
--------------------------------
In lookup menu, set search terms first, then GO! to begin searching, the
records fulfill the terms will be chosen.
To set search terms, you are given the terms menu as follow,

Rules for search:
If you don't give any terms, all records are chosen.
If you give more than one term, search type 'A' means all terms must be
fulfilled for the record to be chosen, 'O' means the record is chosen if one
of the terms is fulfilled.
A term is fulfilled if the given string is found in the record, AP doesn't
need exact name, so if you give 'baysian' as the term for title, any record
with 'baysian' in its title is fulfilled,
Upper or lower case doesn't matter, but sequence does, if you give author
term 'Smith, Adam', the record with 'Adam, Smith' can't be fulfilled, so it's
better only use one string for each terms.
How to choose record by Browse/Tag?
-----------------------------------
Browse can see all records in data bank sequentially or by random access,
tag means make a mark for the record you are looking at, which is chosen
for later action.
Following is the browse menu, Rec# is the current record number, type in
a new record number and press return key will jump to that new record.
Right hand side is the keys used for sequential search, step means the
interval between records.
Press SPACE key to tag current record, a mark '√' will appear on Tag.

What can you do to the chosen record?
-------------------------------------
Actions Left hand side is the actions menu.
Actions for searched references
╔══════════════╗ Scan is a quick display for chosen

║Edit ║ which can send to screen, printer,
║Delete ║ or disk file for later use.

║Notes ║ Copy can copy the chosen records to

Edit used for revise the chosen
records.
Delete to erase the records you chosen. There are two type of delete, one is
to blank the record but keep it for later use, which can keep the record number
intact, the other is to delete it from data bank, then all records follow it
will change their record number. This difference is important, since I assign
the record number to each of my paper as the serial number, save the papers
physically in serial number, and to access the paper by lookup its serial
number in AP.
Mark is used to classified papers that can't be classified by subject.
Notes is used to take notes, memorandum or abstract.
Export can save the records to an ascii file, each record is seperated by
comma, every field is delimited by ". This kind of format can be read by
many different programs.
Actions that need not choose records first.

Global menu give the actions that act over data bank, KEYIN for input new
record, RETRIEVE for copy whole records from other data bank, IMPORT read
ascii file with " delimited, Check Repeats is for check duplicate records,
Base Change to change data bank in use.

What is about setup menu?

List Setting can do three things, decide whether to include record number
in record listing, list by page or continuously, and choose the list format
for different journals.
Subjects and Journals change the standard names, Function Keys define the
strings for function keys F2 to F20.
Password change password for current database.
Output device turn on or off the display device: screen, printer or disk file,
if turn on disk file, AP prompt for the disk file name.
How to change list format?
--------------------------
Setup, Listing setting, List format.
Currently there are following predefined formats can be chosen, I plan to
change it into user defined formats, but don't have time to do it now. Anyway,
it's enough for most of the case, at most need some small adjustment in your
word processing, you can live with it.
